TITLE: Assistant Coordinator – Lebanon Elementary Program

DEPARTMENT: Programs

REPORTS TO:  Elementary Program Coordinator

WAGE: $12.50/hr

STATUS: Part-time, typically Monday-Friday, 11:30 pm- 6:30 pm with a one hour break. Required after school hours: 2:30 pm- 6:30 pm. Meetings, events, etc. may be cause for coming into work earlier, working later, or working weekends. In which case, hours worked must not exceed 30 per week.  

 

PRIMARY FUNCTION:

·         Staff Management/Coaching - Supervise staff during programs and report issues to the Elementary Program Coordinator, especially when Elementary Program Coordinator is absent or unavailable.

o   Assist staff with planning and implementing daily activities as needed.

o   Responsible for sending staff home at the end of the day as appropriate to stay within budget.

o   Assist with weekly Staff Meetings (report on programs such as Junior Leaders, Passport to Greatness, etc.) Adjust daily staff schedule as necessary in absence of Elementary Program Coordinator.

·         Members Services- Help members navigate through stressful situations successfully, especially when behavior issues arise. Communicate with parents in regards to safety and/or behavioral issues when Elementary Program Coordinator is absent or unavailable.

o    Review Incident Reports when Elementary Program Coordinator is absent or unavailable.

o   Ensure Members of the Week/Month are properly recognized.

o   Be on the floor during program hours to support staff with any matters involving members.

·         Ensure program areas are set up properly before members arrive and broken down/cleaned at the end of the day

Special Programs – Responsible for planning and implementing Junior Leader program (weekly Junior Leader meeting, teaching leadership skills, running purposeful activities, scheduling and field trips). Manage Be Great Bucks store (tracking inventory, assigning staff to running store weekly). Virtue of the Month (Informing staff about new virtues and creating and maintaining bulletin board).

 

ADDITIONAL RESPONSIBILITIES

·         Report to work prepared and on time

·         Demonstrate excellent hygiene and cleanliness practices

·         Collaborate and communicate effectively with coworkers as needed

·         Able to pass a Criminal Background Check

·         Represent the Boys & Girls Club and it’s mission while out in the community

·         Assist with hiring and training of new staff

·         Assist with special events as needed

·         Assume other duties as assigned

 

SKILLS/KNOWLEDGE REQUIRED:

·         Previous afterschool program experience and knowledge of youth development (2 Years)

·         Strong verbal and written communication skills

·         Able to work well with others and independently

·         CPR and First Aid Certifications (Must be acquired within first 30 days of work)

·         Oregon Food Handler Certification (Must be acquired within 30 days of work)

·         Able to pass criminal background check

 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

·         Active environment that requires employee to be on their feet for several hours at a time

·         Some lifting and moving of moderately sized objects

·         Some driving may be necessary

Position Title: Lebanon Member Services Coordinator

Hours: Part-Time, 35 Hours per week during school year; Generally Monday – Friday 10:30 AM – 6:30 PM, hours may vary dependent on organizational needs which may include evenings and weekends for various fundraising events. 40 Hours per week during summer; hours to be determined

Pay: $13/hr.

Position Summary: The Member Services Coordinator is responsible for assisting members and their parents with all issues relating to membership. Responsibilities include maintaining a thorough and accurate membership database, assisting parents with registering their children for membership, checking members in and out of the computer daily, and maintaining attendance records. The coordinator will also track and maintain accounts to keep billing current and accurate, enroll members in specific programs, enter payments, and register members during athletic sign ups.

Responsibilities:

Check members in and out daily.

Enroll members is specific programs or activities, and keep membership binder updated.

Assist in tracking and maintaining member financial accounts.

Assist office manager with monthly billings.

Maintain club information and news displays.

Interact with parents and potential clients to distribute accurate information about organizational programs and services, collect fees, and distribute Club policies.

Answer multi-line phone calls, forward and take messages as appropriate.

Provide needed information as requested.

Maintain the lobby – decor, materials, etc.

Maintain accurate attendance records.

Attendance Recognition.

Skills/Knowledge required:

High school diploma or equivalent

Minimum of one year experience as a receptionist or working in an office

Basic computer and data entry skills

Ability to count money, make change, and reconcile payments for deposit

Ability to handle sensitive issues and maintain confidential information

Demonstrated customer service skills

Ability to handle a multi-line phone system, transfer calls, take and deliver messages

Friendly, calm demeanor. Ability to maintain a level head in high stress situations

Flexibility with hours to cover personnel needs

Exceptional verbal, written and interpersonal communication skills

Ability to perform detail oriented work with frequent interruptions and minimal supervision

Experience with Publisher to create flyers and posters a plus
