TITLE: Member Services Coordinator

DEPARTMENT: Business Office

REPORTS TO: Lebanon Office Manager

STATUS: Full-time, hours and days may vary to meet organizational needs, including occasional evenings and weekends. Generally, Monday through Friday 9:30 a.m.– 6:30 p.m.

SALARY: $13 per hour with benefits eligibility after introductory period.

PRIMARY FUNCTION:  The Member Services Coordinator is responsible for assisting members and their parents with all issues relating to membership. Responsibilities include maintaining a thorough and accurate membership database, assisting parents with registering their children for membership, checking members in and out of the computer daily, and maintaining attendance records. The Member Services Coordinator will also track and maintain accounts to keep billing current and accurate, enroll members in specific programs, enter payments, and register members during athletic sign ups. 

KEY ROLES:

Member Services and Customer Service

·         Check members in and out daily

·         Enroll members is specific programs or activities and keep membership records up to date

·         Assist in tracking and maintaining member financial accounts

·         Assist Office Manager with monthly billings

·         Maintain Club information and news displays

·         Interact with parents and potential clients to distribute accurate information about organizational programs / services, collect fees, and distribute Club     policies

·         Answer multi-line phone calls, forward and take messages as appropriate

·         Provide information to staff, Club members and community members as requested

·         Maintain the lobby – decor, materials, cleanliness, lost & found, etc.

·         Maintain accurate attendance records

·         Responsible for member attendance recognition and achievement

ADDITIONAL RESPONSIBILITIES

·         Report to work prepared and on time

·         Collaborate and communicate effectively with coworkers, community members and Club members as needed

·         Pass a Criminal Background Check

·         Represent the Boys & Girls Club and it’s mission while out in the community

·         Assist with training of new staff

·         Maintain quality work despite frequent interruptions

·         Provide quality customer service

·         Take accurate meeting minutes and notes as required

·         Assume other duties as assigned

SKILLS/KNOWLEDGE REQUIRED:

·         Minimum one year previous office experience

·         Computer and data entry skills, including Microsoft Office

·         Count money, make change and reconcile payments for deposits

·         Work well with others and independently

·         Demonstrate excellent hygiene and cleanliness practices

·         Perform duties with minimal supervision and operate out of previously established procedures and guidelines

·         Handle sensitive issues and maintain confidential information

·         Handle a multi-line phone system, transfer calls, take and deliver messages

·         Friendly, calm demeanor - ability to maintain a “level head” in high stress situations

·         Flexibility in schedule to provide office coverage as needed

·         Handle multi-line phone system, transfer calls, take and deliver accurate messages

·         Exceptional verbal, written and interpersonal communication skills

·         CPR and First Aid Certifications (Must be acquired within first 30 days of work)

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

·         Environment requires employee to be on their feet or sitting for several hours at a time

·         Stooping, bending, reaching and pulling will be required

·         Some lifting and moving of moderately sized objects will be required

·         Some driving may be necessary

TITLE: Teacher/ Assistant Teacher

DEPARTMENT: Early Childhood

REPORTS TO: Early Childhood Director

STATUS: Part-time, Monday-Friday hours may vary.  Center is open 7:00am-6:00pm. Possible substitution in other preschool programs through the Boys & Girls Clubs of the Greater Santiam

PRIMARY FUNCTION:  Provide high quality care, enrichment and recreation for preschool age children enrolled in the program.  Plan developmentally appropriate activities, nurturing environment, and provide direct supervision and safety of children and assistant teacher and follow Child Care Division Rules

 

SKILLS/KNOWLEDGE REQUIRED:

·         Education- Early Childhood preferred

·         Experience: Supervising - 1 year preferred

                                        Childcare - 2 years preferred

·         Teachers must have 1 year college experience with emphasis in Child Development or a related field or at least one year experience working in a licensed program

 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

·         Active environment that requires employee to be on their feet for several hours at a time

·         Some lifting and moving of moderately sized objects

DEPARTMENT: Programs

REPORTS TO: Program Coordinator

STATUS: Seasonal and Part-time,  hours and days may vary to meet program needs. Generally, Monday - Friday 2:30-6:30 PM (12:30-6:30 on Wednesday)

 

PRIMARY FUNCTION: Plan, implement, facilitate, and supervise activities and events in a specific program area.  Model and execute a variety of innovative and exciting new programs in a specific core area that meet the diverse interests and needs of members, their parents and the community.  Interface with volunteers assigned to specific programs to ensure proper application.  Promote safety of members, quality of programs and appearance of the Club at all times.
